Mantell Associates is a multi-award winning Life Sciences and Pharmaceutical Executive Search firm based in the City of London, UK. We are currently hiring for an Operations Manager to join our team and support our ambitious growth plans, this role will report into our COO.

 

Reporting to the COO, the Operations Manager is essential for ensuring the smooth and efficient running of the firm. This role is ideal for an experienced operation professional seeking a varied position with excellent opportunities for career progression.

 

Operations Manager – Responsibilities:

Operations:

  • Acting as the main point of contact for UK & US offices, resolving office related issues and answering general queries
  • Organising and managing comprehensive schedules, international travel for leaders and Miami team, and expenses
  • Preparing and revising documents including presentations, emails, reports, agendas
  • Coordinating internal and external events as needed
  • Responsible for coordination with external IT company
  • Organising calendars, coordinating with external and internal key players
  • Manage our terms of business and NDAs process from start to finish
  • Office management including, stock list, supplies and coordinating with building management
  • Liaise with our internal trainer to help coordinate training sessions within the business

HR:

  • Preparing contracts and offer letters for both the UK & US office
  • Acting as the lead for the onboarding and offboarding process
  • Responsible for the probation, promotion management and commission/bonus process
  • Responsible for absence management and annual holiday management, via our HR system BrightHR
  • Upkeep of HR and Benefits administration
  • Main point of contact for US healthcare provider and US benefits

Finance:

  • Monthly payroll administration for both UK & US offices
  • Entirely responsible for UK & US payroll
  • Assist in the preparation and maintenance of financial records and reports
  • Pension administration and monthly payments
  • Process invoices and payments with vendors, ensuring accuracy and timeliness
  • Conduct data entry and maintain financial databases
  • Reconcile bank statements through Xero and assist in month-end closing procedures
  • Assist with audits by providing necessary documentation and reports
  • Be heavily involved in our contract department, approving timesheets, paying contractors & recordkeeping of GP for every contractor

 

Operations Manager – Requirements:

  • Prior operations and finance experience in a recruitment business preferred
  • Exceptional communication skills with the ability to build strong relationships and deliver a first class service
  • Strong administration skills with meticulous attention to detail
  • Comfortable multi-tasking and willingness to manage a busy reactive workload with conflicting priorities
  • Excellent interpersonal skills with a positive “can do” attitude
  • Previous experience in a finance or accounting role is a plus
  • Proficiency in Microsoft Excel and accounting software
