Mantell Associates is exclusively partnered with a leading Cell Therapy CDMO, in their search for an Executive Assistant to CEO & Office Manager. You will provide high-level administrative support to the CEO and manage the daily operations of the office.
EA & Office Manager – Responsibilities:
- Manage and maintain the CEO’s calendar, scheduling meetings, appointments, and travel arrangements
- Organize and prioritize incoming communications (calls, emails, etc.), responding on behalf of the CEO when appropriate
- Draft, edit, and prepare correspondence, presentations, reports, and other documents
- Serve as a liaison between the CEO and other team members, clients, and business partners
- Coordinate and prepare for meetings, including drafting agendas, taking meeting minutes, and following up on action items
- Handle confidential and sensitive information with discretion
- Prepare travel itineraries, manage travel arrangements, and handle CEO’s expenses
- Assist the CEO with special projects, strategic initiatives, and research as needed
- Provide support with CEO’s personal tasks as needed, maintaining a high level of discretion
- Oversee day-to-day office operations, ensuring the office is organized, clean, and stocked with necessary supplies
- Manage vendor relationships, office equipment, and coordinate maintenance or repair requests
- Ensure the efficient functioning of office technology, including computers, printers, and phones
- Plan and coordinate office events, company meetings, and team functions, including catering and logistical support
- Monitor and track office budget, expenses, and submit reports to management
- Provide administrative assistance to other members of the leadership team as needed, including calendar management, meeting coordination, and document preparation
- Assist in preparing presentations, reports, and other materials for leadership meetings
- Help facilitate communication and coordination among the leadership team to ensure alignment and smooth operations
- Oversee and manage front desk receptionist and their operations, ensuring that the reception area is professional, welcoming, and efficient
EA & Office Manager – Requirements:
- Proven experience as an Executive Assistant, Office Manager, or in a similar administrative role, with a minimum of 7+ years of experience
- Excellent organizational and multitasking skills, with the ability to prioritize effectively
- Strong written and verbal communication skills
- High level of discretion and the ability to handle confidential information appropriately
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace, etc.)
- Strong time-management skills with the ability to meet deadlines and handle multiple responsibilities
- Ability to work independently and as part of a team
- A professional and polished demeanor, with the ability to interact with all levels of the organization
- Bachelor’s degree preferred (or equivalent experience)
